TITLE: Purchasing Coordinator


REPORTS TO: Purchasing Manager


JOB STATUS: Non-Exempt, Full Time


SUPERVISORY EXPERIENCE: This position has no direct reports


FUNCTION:
• Assist Purchasing Manager in all Purchasing activities.
PRIMARY DUTIES AND RESPONSIBILITIES:
• Assist Purchasing Manager in all Purchasing activities.
• Prepare and distribute all purchase order documents with designated vendors.
• Follow up on orders to confirm shipments and deliveries by requested dates.
• Scheduling raw material orders on internal delivery log calendar.
• Maintain vendor certificate of liability insurance forms.
• Process blanket purchase orders.
• Work closely with Accounts Payable staff to resolve invoice discrepancies.
• Communicates relevant information with peers and leadership.
• Develop and maintain strong relationships with vendors.
• Handle complaints on purchases and initiate return
• Solicit quotations for future projects within constraints of project timing and material availability
• Perform other clerical duties as assigned.


WORK ENVIRONMENT:
• This job operates in an Industrial and Administrative setting. This role routinely uses standard office equipment such as computer, phones, photocopiers, filing cabinets, and fax machines.


PHYSICAL DEMANDS:
• The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
• While performing the duties of this job, the employee is occasionally required to stand; walk; sit; handle, or feel objects, tools or controls, reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, up to 20 pounds.

POSITION TYPE AND EXPECTED HOURS OF WORK:
• This is a full-time position, and hours of work and days are Monday through Friday, 8:00 a.m. to
4:00 p.m. or 9:00am to 5:00pm. Some flexibility in hours is allowed, but the employee must be
available during the “core” work hours of 9:30 a.m. to 3:30 p.m. and must work 37.5 hours each
week to maintain full-time status.


TRAVEL:
• This position does not require travel


MINIMUM REQUIRMENTS:
• Associate Degree in Accounting, Business Management, or Business Administration
• Individual must be detail orientated.
• High proficiency in utilization of ERP Systems and Microsoft Office software
• Ability to follow instructions, organize, prioritize, and complete tasks.
